How it works
From a phone call to someone livein your systems, fourteen days after you choose.
Your side of this is one twenty-minute call, two interviews, a fortnight of showing someone how your business works, and a sign-off. Everything else — the search, the screening, the structure and the oversight — is ours.
The four steps
What you actually do
-
We talk for twenty minutes
Mostly you talking. Who handles this work today, what a bad week looks like, what the volume actually is, and what a dropped ball costs you in real money. The call ends with what the role would look like for you.
No cost, no obligation -
You interview two finalists and pick one
You get the two strongest candidates, each with a written scorecard that names one reservation. You interview both on video and choose. If neither is right, the search continues at no extra cost. A $500 deposit holds the person you pick, and it comes off your first month.
Within two weeks of our call · $500 deposit, credited to month one -
Fourteen days of onboarding, nothing billed
Your team teaches your software and your processes on the day-by-day plan below. You define what “ready” means at the kickoff. At day fourteen you confirm it or you do not, before anyone touches anything live. If you are not satisfied, the onboarding continues and you are not charged for the delay.
Days one to fourteen · your sign-off, not ours -
Go live
From go-live it is the monthly rate, billed by ACH on the first, month to month with 30 days notice.
After sign-off · then monthly
Before you meet anyone, every candidate clears a published scorecard: proof of skill, communication, judgment and reliability, each with a minimum. The full screening standard is on the vetting page.
The fourteen days
Your team teaches the business. We supply the plan and check the work.
Nobody outside your company knows your customers, your software or your standards the way you do. So your team teaches those, on a day-by-day plan we supply, and we check the output every day while it runs.
Days 0–5 · Learning
- Day 0KickoffTogetherThe role scope sheet, the escalation map and the systems checklist, filled in together.
- Day 1Solida Standards SessionSolidaUS business communication, how to confirm and document, how to say “I don’t know,” and when to escalate.
- Days 1–2Access and tourYouSystem access at the permission levels you set. Tools toured, observing only.
- Days 3–5ShadowingYouThey watch your recorded walkthroughs and your team working live.
Days 6–14 · Doing
- Days 6–8Doing, with reviewYouEvery output checked by your team before it leaves.
- Days 9–12Spot checksYouYour team samples the work rather than reviewing all of it.
- Day 13Independent dayCoordinatorOne full day, start to finish, unsupervised.
- Day 14Sign-offYouChecked against what you defined at kickoff. Go live, or keep going at no charge.
- Every day, 2–13: an end-of-day note on what got done, what did not, what was unclear, what was escalated, and what they need. Solida reads it the same day.
- Day 7: a check-in with you. One question: is anything not landing?
By day fourteen you keep a library of short recorded procedures, about two hours of your team’s time to make, and a one-page scope sheet: what the coordinator owns, what they never touch, who they escalate to by name, and their authority limit in writing.
Part-time coordinators run the same fourteen days, four hours a day.
- A kickoff call on day 0
- About two hours recording short screen walkthroughs of how you do the work
- Reviewing their output on days 6 to 12, all of it at first, then samples
- A check-in on day 7
- A sign-off on day 14
One person on your team owns this. Name them on the first call.
Access and oversight
Your systems stay yours
Your logins, your control
The coordinator works inside your software under a login you create, at the permission level you set, and you can remove it tonight without asking anyone. No shared accounts, and nothing copied, exported or stored outside your systems.
Your agreement sets out that access and what happens when it ends.
Oversight after go-live
In the first week live, we spot-check the work and review every escalation. After that: a weekly report to you, a monthly check-in with your coordinator, and a quarterly review with you.
We also watch for the role quietly growing into work nobody agreed to, which is how a good role becomes an unmanageable one.
What the guarantee covers, stated precisely. Replacements are free and unlimited while your coordinator is with you, and that covers the person: fit, performance, or someone leaving. It is a replacement guarantee rather than an outcome guarantee, and your agreement states that distinction.
Start with the twenty minutes.
The first call works out which role fits what you are describing, and what the fourteen days would look like at your company.
